How to ask Systemise Limited to delete your account and associated data, what we remove, and what we are required to keep.

Delete your Systemise data

Systemise is developed by SYSTEMISE LIMITED ("Systemise", "we", "us"), a New Zealand company. This page explains how to ask us to delete your Systemise account and the personal information associated with it, what we remove, and the small amount we are required to keep.

You can request deletion at any time. It applies to data held in the Systemise mobile app and the Systemise web application.

How to request deletion

To request deletion of your account and data:

  1. Email us at [email protected], from the email address on your Systemise account.
  2. Tell us that you want your account and all associated data deleted.
  3. We confirm your identity, tell you exactly what will be deleted, and complete the deletion within 30 days.

Sending the request from your account's email address helps us verify it is really you. If you cannot email from that address, contact us and we will find another way to confirm your identity.

If you are an employee on a business account

Most Systemise accounts belong to a business, and the account holder controls them. If you are a user on your employer's account rather than the account holder, your employer controls that account and its data.

If you ask us to delete your data, we will refer your request to the account holder and let you know we have done so.

What gets deleted

When you ask us to delete your account, we remove your account and the operational records held in it, including your contacts and clients, sites and addresses, quotes, jobs, appointments, notes, photos, purchases, receipts and invoices, along with personal information such as your name, email address and phone number.

The related timeframes, set out in full in our Privacy Policy, are:

  • A confirmed deletion request is completed within 30 days.
  • If you simply cancel without asking for deletion, account data is deleted 90 days after cancellation.
  • Items you delete inside the app are recoverable for 30 days, then permanently purged.
  • Encrypted backups are purged within 35 days of deletion.

What we keep, and why

Two things survive deletion:

  • Billing and tax records, which we are legally required to keep for seven years under the Tax Administration Act 1994.
  • Anonymised statistics that cannot identify you.

Crash diagnostics and server logs are kept for 90 days and then age out on their own.

Export your records before you delete or cancel

This matters. New Zealand businesses must keep invoices, receipts and GST records for seven years under the Tax Administration Act 1994, and that obligation is yours. It outlives your Systemise account.
