Job costing

How trade businesses can protect job margins when costs keep moving

A practical framework for New Zealand trade and service businesses to keep quotes, job costs, labour, invoices and margin visible as costs and project conditions change.

Cost pressure does not only affect what a trade business pays for materials. It also changes customer budgets, delays approvals, adds coordination work and makes small estimating errors harder to absorb.

A New Zealand construction survey published on 14 August 2026 found continuing confidence alongside tighter budgets, margin pressure and financial-stability concerns. The survey covered 205 New Zealand decision-makers at construction businesses with 20 or more employees, so it is a useful directional signal rather than a complete picture of smaller trade businesses. Read the survey report.

The practical response is not simply to increase every price. It is to make the commercial position of each job visible from quote to invoice.

Start with a quote that reflects the work

A useful quote should record the labour, materials, quantities, rates and terms used to price the job. Keeping these items structured gives the team a baseline to compare with what happens during delivery.

When a supplier price or scope changes, update the commercial record deliberately rather than relying on memory or an informal message thread.

Carry the quote context into the job

Re-entering the same work into a separate job record creates opportunities for quantities, pricing and scope to drift.

Systemise connects quotes and jobs so the operational record can retain the client, site and commercial context. The job can then hold its status, team assignments, activity, files and timesheets alongside the work being delivered.

Record labour and costs while the job is active

A margin figure is only useful when the underlying information is kept current.

Record:

  • time worked against the job;
  • materials and other job costs;
  • changes or extra work;
  • supplier documentation and job files; and
  • invoices raised against the job.

Systemise's job financial summary brings recorded costs, labour and invoices together for users with the appropriate financial permissions. This supports a comparison between job revenue and recorded cost without giving every field user access to sensitive margin information.

Review exceptions before the job is closed

Do not wait for month end to discover that a completed job missed its target.

Useful review questions include:

  • Has the actual labour exceeded the allowance?
  • Were material quantities or costs different from the quote?
  • Has extra work been recorded and charged?
  • Is any supplier cost still missing?
  • Has the completed work been invoiced?
  • Does the current margin need investigation?

The purpose is not to make every job identical. It is to identify the jobs that need attention while the commercial context is still fresh.

Turn completed jobs into better estimating information

One job explains what happened once. A consistent set of job records can reveal repeated patterns.

Systemise Report Studio can use structured operational data to build, save, export and revisit reports. This allows a business to examine profitability, labour, quoting and delivery questions using the information recorded through normal work.

A simple margin-control routine

For each active job:

  1. Confirm the quote and scope baseline.
  2. Keep labour, materials and extra costs current.
  3. Review quote-to-actual differences at an agreed checkpoint.
  4. Resolve missing costs and uncharged variations before invoicing.
  5. Review the final job result and feed what was learned into the next estimate.

Good margin control is less about a perfect forecast and more about seeing changes early enough to respond.

Put the whole job record in one place

Systemise connects quoting, jobs, scheduling, files, timesheets, invoicing and reporting in one workflow for New Zealand trade and service businesses.

Start with one recently completed job. Compare what was quoted, what was recorded, the time spent and what was invoiced. That will show where better job visibility can make the next estimate more informed.
