Accounting dashboard

See money in, money out, what customers owe and GST for the period, and work through everything waiting on you.

The accounting dashboard brings receipts, invoices and supplier bills together on one page, and lists what is waiting on you. It opens when you select Accounting.

Choose the period

Use This month, Quarter or Year at the top right. The money-in, money-out and GST figures cover the period up to today. The amount awaiting payment is always everything still owing, whatever the period.

The headline figures

CardWhat it shows
Money inPayments received on invoices issued in the period, and how many invoices were paid.
Awaiting paymentWhat customers still owe across all open invoices, and how many are overdue.
Money outThe total of supplier bills dated in the period, and how many receipts were uploaded.
GST to payGST on your invoices, less GST on your purchases, for the period.

The area panels

There is a panel for each part of Accounting. Select a panel to open that area.

  • Smart Receipts shows how many receipts were uploaded in the period, and how many are matched to a purchase, extracted but not yet approved, or need review.
  • Invoices shows what is owed to you, split into paid, sent but not yet due, and overdue.
  • Purchases shows the supplier bills entered in the period, split into costed to jobs, coded to an account, and needing allocation.

The strip under each panel tells you whether anything needs attention, for example how many receipts need review or how many invoices are overdue.

Money in vs money out

The chart compares money in and money out month by month, in thousands of dollars, for the last six months. The chart is only drawn when the dashboard has every invoice and purchase to work from. Under it are the net amount, money in and money out for the period.

Accounting sync

This panel shows whether Xero is Connected or Not connected, and when the last contact sync was recorded. To connect, see Connect Xero.

Work through what is waiting on you

Who can see the dashboard

The dashboard and the Accounting menu need Settings: View. The Owner and Office roles include it. The side menu only shows the areas your role can open.

Troubleshooting

The figures look lower than expected

The dashboard reads the latest 100 receipts, invoices and purchases. Older records are not counted. The footer of the table says this.

“Could not load accounting data.”

Select Retry. If it keeps happening, refresh the page.

Some figures show “No data”

These figures are not available yet.
