Meetings
Schedule a meeting with your team, invite colleagues, repeat it on a schedule, and respond to meetings you're invited to.
A meeting is time with your own team, such as a toolbox talk, a planning session or a weekly catch-up. Each meeting has an owner and can have invited colleagues. Meetings can repeat. Unlike bookings, they aren't linked to a customer and can't become quotes or jobs.
Meetings use the Bookings permissions: you need Bookings: Create to create one, Bookings: Edit to change one and Bookings: Delete to delete one.
Create a meeting
Start a new meeting
On the Appointments screen, select New, then New meeting. Or open the Meeting tab and select a time on the calendar.
Say what it is
Under What, enter a Title. Under Meeting for, choose whose meeting it is. It's yours unless you choose someone else.
Set when
Under When, set the start and end dates and times. Times move in 15-minute steps.
Add notes
Add an agenda or anything people should know in Notes.
Invite colleagues
Under Meeting with, search for and tick the employees to invite.
Repeat it, if you need to
Under Repeat meeting, tick Repeat and choose how often. See Repeat a meeting.
Add a place and reminder
Select Add address to say where it is. Choose when the Reminder is sent.
Save
Select Save meeting. You'll see Meeting created, and the meeting appears on the calendar.
The meeting's details
| Field | What it's for |
|---|---|
| Title | What the meeting is. Shown on the calendar; a meeting without a title shows as Meeting. |
| Meeting for | The owner. It's you unless you choose someone else. Only employees who can sign in to Systemise are listed. |
| Start and end | When it happens. The end can't be before the start. |
| Notes | An agenda or other details. Shown when you point at the meeting on the calendar. |
| Meeting with | The colleagues you're inviting. |
| Address | Where the meeting is. Start typing to pick a suggested address, or type it yourself. |
| Reminder | How long before the start the reminder email is sent: 15 mins, 30 mins, 1 hour, 2 hours or 1 day. Starts at 15 mins. |
Meetings are for your team only. You can't invite customers or people outside Systemise.
Invitations
When you save a meeting, each invited colleague who can sign in to Systemise gets an invitation in Systemise. Invitations aren't emailed.
Respond to an invitation
Find the invitation
Select the notifications bell at the top of the screen. Pending invitations show the meeting's title and start time. For all of them, open the Notifications page and look under Meeting invitations.
Respond
Select Accept or Decline.
Once you've responded, the invitation shows Status: Accepted or Status: Rejected, and you can't change your answer.
Reminders
The meeting's owner gets a reminder email before it starts, at the time chosen under Reminder. Each meeting in a repeating series gets its own reminder.
Repeat a meeting
To make a meeting repeat, tick Repeat under Repeat meeting, then choose:
- how often: Daily, Weekly, Monthly or Yearly;
- the gap, under Every: for example every 2 weeks.
When you save, Systemise adds every meeting in the series to the calendar for the next two years. There's no end date to set.
Change a repeating meeting
When you save changes to a meeting in a series, you're asked what to change:
- This meeting only changes just the one you have open.
- Entire series changes this meeting and every later one in the series. Earlier meetings stay as they were. If you changed how often it repeats, the later meetings are replaced with a new series starting from this one.
- Cancel goes back without saving.
You'll see Meeting updated or Meeting series updated. Dragging a repeating meeting on the calendar asks the same question. See Move or resize an appointment.
Delete a meeting
Open the meeting and select the bin icon (Delete meeting). Confirm Delete this meeting?
If the meeting repeats, you're then asked Also delete this and all future meetings in the series?
- Select OK to delete this meeting and every later one. You'll see Meeting series deleted.
- Select Cancel to delete only this one. You'll see Meeting deleted.
Who sees which meetings
If your role sees all work, you see and can open everyone's meetings. If your role only sees work assigned to you, you see the meetings you own.
