Schedule view
See one day at a time with a column per crew, and drag waiting tasks onto a crew to schedule them.
The Schedule view on the Jobs page shows one day at a time, with a column for each crew. Work waiting to be scheduled sits in the first column, and you drag tasks from there onto a crew to put them on that day.
Open the Schedule view
Go to Jobs and select Schedule in the view buttons (next to Gantt, Resource, Calendar and List).
Moving work needs Jobs: Edit and Scheduling: Edit. Without them you can still open the Schedule view to see the day, but you can't move anything.
Choose the day
The view opens on today. Use the arrows to go to the previous or next day, Today to come back, or the date box to jump to a day. The address in your browser includes the day, so you can bookmark or share it.
What's on the board
Unscheduled
The first column lists every open task that isn't on a day yet, grouped by job. Each job shows its number, customer, suburb and the first line of its description, and can be collapsed. Use Search jobs, customers, tasks to find work by job number, customer, task or job category.
This column stays put when you change day, so you can move to another day and keep dropping the same work.
Crew columns
There is one column for each crew, in the order set on the Crews page, showing the crew's colour and its people's initials. Each column lists the jobs the crew is on that day, with the day's tasks under each job. The foot of the column shows the hours booked.
A No crew column appears when some days were staffed person by person rather than by crew. You can't drop work onto it.
Colours
Cards are coloured by their job category, and a key of the categories on screen sits above the board. Jobs with no category are grey.
Cards
- A task card shows the task, its phase, the initials of the person it's assigned to, and REQ if it is required and not done.
- A job card in a crew column shows the job, customer and suburb, the day's times, phase and crew. Pre-start outstanding means a required pre-start form for that day hasn't been completed.
Schedule a task
Find the task
Find it in Unscheduled, using the search if needed.
Drop it on a crew
Drag the task onto a crew's column.
The task is planned for that crew on that day. If the crew already has a day on that job, the task joins it. Otherwise a day is made for the crew over your company's business hours, with the crew's people on it. A job that wasn't scheduled becomes Scheduled.
To move several tasks from the same job together, hold Shift and click each one, then drag.
Move or remove work
- Another crew: drag the task onto the other crew's column. The first crew's day for that job is removed if nothing else is left on it and nobody has recorded time that day.
- Off the day: drag the task back to Unscheduled. The day is removed in the same way once it has no tasks left.
- A whole day: a job card with no tasks on it can be dragged to another crew. That crew's people replace the people on the day.
Tasks that are already done can't be moved. If a move can't be made, the card goes back where it was and a message says why, for example when someone in the crew is already booked at that time.
See the details
Click a task to see its status, phase, who it's assigned to, the day and crew, and the job, customer and site. From there, Open the job’s plan or The job’s days.
Click a job card in a crew column to see that day's times, crew, phase, tasks and any outstanding pre-start form, with links to the job and its plan.
Troubleshooting
The board says “No crews yet”
The Schedule view needs crews. Set them up in Crews, then come back.
A job I expected isn't in Unscheduled
Only open tasks with no day show there. Tasks on completed jobs, in closed phases, or already done don't appear. A job made before plans existed gets a task when you apply a plan template or add a task on its Plan tab.
“You can see the schedule, but moving work needs the schedule permission”
Your role needs Scheduling: Edit and Jobs: Edit. Ask an administrator.
“One or more employees are already scheduled during this time”
Someone in the crew is already booked at that time on another job. Move that work first, or drop the task on a different crew.
