Accounting overview
What the Accounting area is for, how its parts fit together, and who can use it.
Accounting is where you handle the money side of your work: the receipts and supplier bills coming in, the invoices going out, and your connection to Xero. Select Accounting in the top menu to open it. The side menu shows the areas your role can open.
What's in Accounting
| Area | Use it to | Guide |
|---|---|---|
| Dashboard | See money in, money out, GST and what is waiting on you. | Accounting dashboard |
| Smart Receipts | Upload receipts and supplier invoices and have them read for you. | Smart Receipts |
| Invoices | Raise invoices from jobs, track what is owed and void or credit invoices. | Invoices |
| Purchases | Record supplier bills and split them between jobs and stock. | Purchases |
Xero is connected from the Integrations menu. See Connect Xero.
How the pieces fit together
- Upload a receipt or supplier invoice to Smart Receipts. Check what was read, then approve it to create a purchase. See Review a receipt.
- For suppliers you code the same way every time, set up Smart Receipts rules to fill in the account and job for you.
- Open each purchase to cost its lines to a job or receive them into stock.
- When a job is finished, raise an invoice from it and track it until it is paid.
- The dashboard lists anything that needs attention: receipts to review, overdue and draft invoices, and purchases not yet allocated.
Who can use Accounting
The Accounting menu needs Settings: View. Each area then needs its own permission: Purchases for Smart Receipts and Purchases, and Invoices for Invoices. The Owner and Office roles include all of these. The Supervisor, Field worker and Contractor roles don't include Accounting.
If you can't see Accounting, or an area is missing from the side menu, ask an administrator to check your role.
