Saved reports
Save a custom report, run and export it, edit or delete it, add it to your dashboard, and rebuild reports made in the old report builder.
A saved report is a custom report you built in the report builder and kept, so you can run it again, export it or show it on your dashboard. It runs against your live data every time you open it.
Save a report
You need Reports: Create to save a new report.
Select Save report
In the report builder, when the preview shows what you want, select Save report.
Name and describe it
Enter a Report name (up to 120 characters). Description starts with the one-sentence summary of the report; change it if you like.
Choose a category
Choose the Category it belongs to, such as Sales & Revenue or Jobs & Work.
Make it available to the dashboard, if you want
Tick Add to the dashboard as a widget and choose a Widget size. See Show a saved report on your dashboard.
Save
Select Save report. The saved report opens.
Find your saved reports
Select Saved Reports in the Reports menu. The list shows each report's name, its source, how it was built, when it was last saved, and whether it's available to the dashboard (Pinned or Not pinned). Use the search box to find one, and select a column heading to sort.
While you're on the Saved Reports page, the Reports menu also lists your first five saved reports for quick access.
Run and export a saved report
Select a report in the list, or Run beside it. The saved report page shows:
- the report's name and description, its category and source;
- the result as a table, or as bars when the report is summarised and set to a chart;
- What this report asks for: the report's plan in plain words;
- Before you act on this: notes on anything that affects how to read the result.
To download it, select Export CSV or Export PDF. The export holds the result as it is now.
Edit a saved report
You need Reports: Edit.
Open the report
Open it from Saved Reports.
Select Edit in studio
The report opens in the report builder.
Make your changes and save
Change what you need, then select Save report. The save window keeps the report's name, description, category and dashboard settings; change them if you need to. Saving updates the same report.
Delete a saved report
You need Reports: Delete. On the Saved Reports page, select Delete beside the report and confirm. The report is deleted for everyone. If it was on a dashboard, remove its widget with Edit dashboard.
Show a saved report on your dashboard
A saved report can sit on your dashboard as a widget.
Make it available
When you save the report, tick Add to the dashboard as a widget and choose a Widget size: 4×2 for one headline figure, 4×3 for a chart and total, or 8×3 for the full result table. The list shows the report as Pinned.
Edit your dashboard
Open the dashboard and select Edit dashboard, then Add widget.
Choose the report
Open the Custom Reports tab and select the report.
Save the layout
Select Save layout.
The widget starts at the size you chose and draws the report the way you set it in Visualise in the builder. Ticking the box makes the report available to everyone's dashboard; each person adds it to their own. For more on arranging widgets, see Dashboard.
Rebuild a report from the old report builder
Reports saved in Systemise's earlier report builder show Needs rebuilding in the Built with column. They can't run until they're rebuilt.
Open it
Select the report, or Rebuild beside it. It opens in the report builder with its name and source carried over.
Pick what to show
Choose the columns, filters and any summary you want. The builder starts with the source's first five fields.
Save it
Select Save report. The rebuilt report replaces the old one.
