Merge Contacts

Combine duplicate records for the same customer into one, with all their work moved across.

Duplicates happen: the same customer entered twice, or entered once by name and once by business name. Merging moves everything from the duplicates onto one contact, then removes the duplicates.

You need Contacts: Edit.

Merge contacts

  1. Find the duplicates

    On the Contacts list, search for the customer so all their records are on one page.

  2. Select them

    Tick the box beside each record you want to combine. The bar at the bottom shows how many are selected.

  3. Start the merge

    Select Merge Contacts. It's available once you've selected at least two.

  4. Choose the one to keep

    In Primary Contact, choose the record to keep. The others are merged into it.

  5. Merge

    Select Merge Contacts. The list reloads with the duplicates gone.

You can merge up to 10 contacts into one at a time.

What happens to their details

These move to the contact you keep, including any that had been deleted:

  • quotes, jobs and bookings;
  • invoices and purchases;
  • people and sites;
  • assets and their logs;
  • phone numbers and addresses.

The contact you keep keeps its own name, email and other details. Where one of its details is empty, it's filled from the merged contacts. Its main address stays its main address.

Before you merge

  • Check which record has the right name, email and phone, and choose that one as the primary contact.
  • Select only the contacts you can see on the current page. If you've been ticking contacts on other pages or searches, select Cancel to clear them and start again.

Troubleshooting

No more than 10 contacts can be merged at once

Select fewer contacts. Merge them in batches into the same primary contact.

There are no tick boxes on the list

Your role doesn't include Contacts: Edit.

The contacts could not be merged

Try again. If it keeps happening, contact support.
