Quote Statuses

How statuses work, recommended status sets, and how to use filters.

Overview

Quote statuses help you track where each quote is in your pipeline.

They are typically used to:

  • Filter quotes lists
  • Build reporting
  • Drive team workflow (who needs to do what next)

Most teams do well with a simple set:

  • Draft
  • Sent
  • Follow-up
  • Accepted
  • Declined
  • Expired (optional)

How to use statuses effectively

Draft

  • Quote is being prepared.
  • Use internal review/checks before sending.

Sent

  • Quote has been emailed.
  • Record when it was sent and to whom.

Follow-up

  • Used as a working queue.
  • Schedule calls/emails and document outcomes.

Accepted / Declined

  • Always record outcome quickly.
  • If declined, record why (price, timing, scope, competitor).

Troubleshooting

We have too many statuses

If the team struggles to remember what each status means, remove or merge statuses.

Filters don’t show expected quotes

  • Confirm the quote is saved.
  • Confirm status changes were applied.
  • Confirm your role has access.
