Systemise Overview
How Systemise is structured and how to think about the core workflow.
What Systemise helps you do
Systemise is an all-in-one system for managing your customers, quoting, scheduling, job delivery, and business administration.
At a high level, most businesses follow a repeatable workflow:
- Capture and manage Contacts (prospects, clients, suppliers).
- Schedule Appointments (bookings / meetings).
- Create and send Quotes.
- Convert accepted quotes into Jobs.
- Deliver work using job Activities, Files, and team Assignments.
- Track results with Reporting and (optionally) connect Accounting.
Core concepts
Contacts
Contacts represent the people or organisations you work with. Contacts are typically linked to:
- Quotes
- Jobs
- Bookings / meetings
- Documents and files
Quotes
Quotes are the commercial proposal you send to a client. A quote usually includes:
- Job category
- Products / line items
- Pricing and totals
- Terms
- Attachments
Jobs
Jobs are the operational record used to plan and deliver the work. Jobs usually include:
- Status tracking (e.g. New → Scheduled → In Progress → Completed)
- Team assignments
- Activity timeline (notes, updates)
- File repository (photos, PDFs)
- Time tracking (timesheets)
Navigation basics
The top bar is always available and provides:
- Search (
⌘K) for global search - Quick create (
+) for creating new items - Settings for admin and configuration
- Integrations for connecting external systems
- Help (this documentation)
Recommended onboarding order
Follow this order to set yourself up for success:
- Company setup and preferences
- Roles / access (who can see and do what)
- Configure dictionaries:
- Lead sources
- Job categories
- Quote and job statuses
- Payment terms
- Terms & conditions
- Create or import contacts
- Create and send your first quote
- Convert to a job and run your delivery workflow
- Review reports and (optionally) connect accounting
Troubleshooting
“I can’t see a menu item or page”
- Your role may not have permission.
- Some features are available only after configuration.
“My workflow doesn’t match these steps”
That’s normal. Systemise is configurable—adjust statuses, job categories, templates, and roles to match how your business operates.
