Use the calendar

Switch between month, week and day views, filter by employee, read the colours, create an appointment from a time slot, and move or resize appointments by dragging.

The calendar on the right of the Appointments screen shows bookings and meetings together. It opens on the current week.

Change the view

Use the buttons at the top of the screen:

  • Month, Week or Day to change how much you see.
  • Today to jump back to the current date.

Use the arrows beside the date range at the top of the calendar to move to the previous or next month, week or day.

Week and day views show 5 am to 9 pm and open scrolled to 6 am. In month view, a day with more appointments than fit shows a +more link.

Choose what's shown

  • Bookings and Meetings turn each kind of appointment on or off. You can show both at once.
  • The employee filter shows one employee's appointments, or All employees for everything on the calendar. Each employee in the list shows how many appointments they have in the dates you're looking at. Meetings are matched on their owner.

Read the calendar

What you seeWhat it means
A block in an employee's colourA booking assigned to that employee. Employee colours are set on the Employees page in the settings menu; the employee filter has a Manage link to get there.
A slate-blue block marked Meeting · ownerA meeting. The dot is the owner's colour.
A booking with a green ringA converted booking: a quote or job has been created from it.
A grey, faded bookingA closed booking.

A legend under the calendar names the colours in view.

Point at an appointment to see more: when it is, the contact with their email and phone, the address, and the notes. Select it to open it in the panel on the left.

If there's nothing in the dates you're looking at, the calendar says No bookings or meetings in this date range.

Create an appointment from the calendar

You need Bookings: Create.

  1. Choose the kind

In the left panel, select the Booking or Meeting tab. The calendar creates whichever kind is selected.

  2. Select the time

In week or day view, select a time slot, or drag down across several slots to set the length. In month view, select a day; the appointment starts at the next quarter-hour from now and runs for your default length.

  3. Fill in the rest and save

The panel opens a new appointment with the times filled in. See Bookings or Meetings.

Move or resize an appointment

You need Bookings: Edit.

  • Drag an appointment to a new time or day to move it.
  • Drag its bottom edge to change how long it runs.

A booking or a one-off meeting is saved as soon as you let go. Moving a booking also moves its reminder.

If the meeting repeats, you're asked what to change:

  • Just this appointment moves only the one you dragged.
  • All appointments moves this one and every later one in the series by the same amount. Earlier meetings in the series stay where they are.
  • Cancel puts it back.

If the change can't be saved, the appointment goes back to where it was and a message tells you why.

Troubleshooting

I can't select a time or drag appointments

Your role doesn't include Bookings: Create (to select a time) or Bookings: Edit (to drag). You can still open appointments to see them.

A booking jumps back when I drag it

The employee probably already has a booking or meeting at that time. Systemise doesn't let an employee be double-booked. The message reads Check the highlighted fields and try again.

An appointment is missing from the calendar

Check that Bookings or Meetings is switched on and the employee filter is on All employees. If your role only sees work assigned to you, other people's bookings and meetings don't appear. An appointment that starts before or ends after the dates in view may also not show: switch to a view that covers its whole time.
