Compliance forms on a job

Add compliance forms to a job, complete them in the office, waive ones that don't apply, and download the PDF of a submitted form.

A job's Compliance tab holds its compliance forms: pre-starts, milestone forms, finalise (close-out) forms and inspections. Forms are completed in the office here, or by the crew in the field app. Each submitted form is kept as a PDF.

Adding, completing, correcting and waiving forms needs Jobs: Edit.

Where a job's forms come from

  • New jobs get the forms linked to their job category when they are created. You link forms to categories in Compliance form templates.
  • A daily pre-start is added once for each scheduled day. When days are added or removed, the outstanding pre-starts follow them.
  • A milestone form is linked to a phase of the job's plan.
  • Existing jobs are not given forms by themselves. Add them as below.

Add forms to an existing job

Open the job and select the Compliance tab.

  • Add category forms adds every form the job's category uses, just as a new job in that category would get them. Running it again only adds what is missing. If the job has no category, there is nothing to add.
  • Add a form… lists all your published forms, grouped by Pre-start, Milestones, Finalise and Inspections. Choose one and select Add. A daily pre-start is added for each day the job is scheduled.

A form can't be added twice for the same day, unless the earlier one was waived. Inspections can be added as often as you need.

Complete a form in the office

  1. Open it

    Select Complete on the form.

  2. Answer the questions

Answer each question. A Fail asks what failed and what was done about it, and needs a photo. Add photos with Add photo.

  3. Sign

For a signature, select Add a signature, enter the name of the person signing and sign in the box. A question set to “each crew member signs” needs one signature for each person on that day's crew.

  4. Submit

Select Submit form. Anything missing is marked on the question.

The form shows who submitted it and when, and the submission is recorded on the job's activity feed.

A form set to be completed in the field can't be completed in the office until the crew has submitted it. It shows completed in the field and has no Complete button.

Correct a submitted form

Select Correct on a submitted form to change the answers and submit again. The earlier submission is kept, and the form shows how many times it has been corrected.

Waive a form

If a form doesn't apply to this job, select Waive, give the reason and select Waive again. A waived form no longer holds anything up. The reason is kept on the form and on the job's activity feed. Only outstanding forms can be waived.

View and download a submitted form

Select View to see the answers, photos and signatures. Download PDF downloads the form as it was when it was submitted. Changing the form's design later doesn't change PDFs that have already been made.

While the PDF is being made, the form says The PDF is being made…. Check back shortly.

How the PDF looks is set in Settings → Document Designs, in the Compliance forms section. See Designing your documents.

Troubleshooting

“… is already on this job”

That form is already on the job for that day. Complete or waive the one that is there.

“That form has not been published yet”

Publish the form first in Compliance Forms.

“This job has no category, so it has no forms to add”

Set the job's category, or add forms one at a time with Add a form….

“The PDF couldn’t be made”

The answers are still saved. Correcting the form makes a new PDF from the new submission.

“… is completed in the field” or “… is completed in the office”

The form's Completed by setting says who fills it in. Change it in the form's settings if it is wrong.
