Run a report

Open a built-in report, change its reporting period, read its figures, open the records behind a figure and export it as CSV or PDF.

Every built-in report works the same way: four headline figures, a chart, a breakdown, a short summary and a table of the records underneath. This page explains each part. For what each report measures, see the reference pages listed in Using Reports.

Open a report

  1. Open Reports

Select Reports in the main menu. All Reports shows every built-in report as a card.

  2. Find the report

Scroll the board, or select a category under Categories in the Reports menu to see only its reports.

  3. Open it

Select the card. View report appears when you point at it.

The report opens on the same reporting period as the board, so the card's headline figure and the report agree.

Change the reporting period

Use the period list at the top right of a report. The choices are Last month, Last 3 months, Last 6 months and Last 12 months. Reports open on Last 12 months. Each period runs from the start of the first day to the end of today.

The period is part of the page address, so if you copy the link and send it to a colleague, it opens on the same period.

Read a report

PartWhat it shows
Headline figuresFour cards with the report's key numbers. Some cards also show a comparison or a short note underneath.
ChartThe report's main chart, often this period against the period before. Switch between Chart and Table to see the same figures as numbers.
BreakdownA ranked list with bars, such as revenue by job category or hours by person.
What this readsThe fields in Systemise the report is built from. Use it to see which records you need to keep up to date for the report to be right.
SummaryA sentence or two in a blue box that picks out what stands out in the figures, such as the strongest month or the largest customer.
TableThe records behind the report, such as the invoices, quotes or jobs in the period. Use the search box to find a row, and the page controls to move through the table 12 rows at a time.

Tables show up to 1,000 rows.

Open the records behind a figure

On some reports, a headline card opens a list of the records it counts. For example, on Follow Up Ageing, Quiet 14 days+ opens the open quotes that haven't been sent for more than a fortnight. A card you can open lifts when you point at it. Cards for rates and averages don't open.

The list has its own page, with the figure's name as its title and a sentence saying what's in it. It shows 25 rows at a time, has a search box, and you can export it as CSV or PDF. Use the link at the top to go back to the report.

The reports with lists behind their figures are Follow Up Ageing, Active Jobs, Job Margin, Contact Growth, Interaction Coverage, Customer Overview, Lifetime Value and Repeat Business.

Export a report

Select CSV for a spreadsheet, or PDF for a printable copy. The file downloads straight away, named after the report and today's date.

The export holds the report's table: its column headings and rows for the period you chose. The headline figures, chart and summary aren't included. On a list behind a figure, the export holds that list.

When a report says Not tracked in Systemise

If a report has nothing to work with, it shows Not tracked in Systemise with a reason, and What this would read with the fields it needs, instead of an empty chart. The board shows the same words on the report's card.

Read the reason. It tells you which of two things is happening:

  • The data isn't kept in Systemise. For example, Cash Position needs bank accounts and statement lines, and Aged Receivables needs invoice balances. If your accounting system holds these instead, the report has nothing to read. These reports start working by themselves once the data is recorded in Systemise.
  • Nothing in the period meets the report's needs. For example, Duration Analysis needs jobs with an hours allowance, and Employee Performance needs quotes with an owner. Try a longer period, or start recording that detail.

Troubleshooting

A figure looks too low

Check What this reads and the summary. A report can only count what was recorded: jobs without a category, timesheets without a pay rate or bills not attached to a job are left out of some figures, and the summary usually says how many.

The period list doesn't change the figures

The report describes how things stand today rather than a period. See its entry on the reference pages.

I need more than 12 months

A report covers at most 12 months. For a longer view, export each 12-month period separately.

Export failed

The message after Export failed: gives the reason. Try again; if it keeps failing, choose a shorter period.

That list is not available on this report

The link points to a list the report doesn't have. Go back to the report and open the list from its headline card.
