Profitability and labour reports

What each report in Profitability and Labour & HR shows, which date it counts by, and what it needs to work.

A reference for the reports in two categories: Profitability and Labour & HR. For how to open, read and export a report, see Run a report.

What these reports need

Cost and labour figures are only as complete as the records behind them:

  • Material cost comes from the cost price on job line items.
  • Labour cost comes from timesheet hours and the pay rate on each timesheet.
  • Charged-out labour comes from each employee's Charge Out Rate, set on the Employees screen.
  • Supplier bills count towards a job only when the bill is attached to that job.

Where something is missing, the report's summary says so, for example how many jobs carry no recorded cost or how many timesheet entries have no pay rate.

Profitability

These reports work from jobs completed in the period, up to 1,000 jobs.

Job Margin

What each completed job made after recorded cost.

  • Figures: Gross margin, Invoiced, Recorded cost, Jobs under water.
  • Lists behind the figures:
    • Invoiced opens Completed jobs: every job completed in the period.
    • Jobs under water: completed jobs whose recorded cost came in above their value.
  • Chart and breakdown: value against cost, by month; margin by job category.
  • Table: completed jobs by margin, each marked with a result.
  • Counts by: the date the job was completed. Invoiced is the value of the completed jobs.

Labour Recovery

Whether the hours you pay for are charged out to customers.

  • Figures: Hours worked, Labour cost, Charged out, Recovery.
  • Chart and breakdown: labour cost against charge-out, by month; cost by employee.
  • Table: each employee with hours, cost, amount charged and recovery.
  • Counts by: the date worked on each timesheet.
  • Needs: timesheets in the period. Without a Charge Out Rate on your employees, the report shows cost but can't work out what the labour was worth.

Materials Variance

Materials used on jobs against what was quoted for them.

  • Figures: Materials quoted, Materials used, Jobs over, Worst variance.
  • Chart and breakdown: quoted against used, by job; materials used by category.
  • Table: the jobs with the largest variances.
  • Counts by: the date the job was created. Only jobs raised from a quote are included.
  • Needs: jobs raised from a quote, with costed materials on both the quote and the job. Without any, the report shows Not tracked in Systemise.

Category Margin

Margin by type of work.

  • Figures: Overall margin, Best category, Worst category, Spread.
  • Chart and breakdown: revenue against cost, by category; margin by category.
  • Table: each category with jobs, revenue, cost and margin.
  • Counts by: the date the job was completed.
  • Needs: completed jobs with a value and a job category.

Cost Breakdown

Where your costs sit: materials, labour and supplier bills.

  • Figures: Total cost, Materials, Labour, Unattributed bills.
  • Chart and breakdown: cost against revenue, by month; where cost sits.
  • Table: spend by supplier, with each supplier's share and whether their bills are attached to jobs.
  • Counts by: the date the job was completed for job costs, and the bill date for supplier bills.
  • Unattributed bills are supplier bills not attached to a job. They can't be counted in any job's margin.

Profit Trend

Gross profit and margin over time.

  • Figures: Gross profit, Margin, Best month, Worst month.
  • Chart and breakdown: revenue against cost, by month; margin by quarter.
  • Table: month by month, with jobs, revenue, cost and margin.
  • Counts by: the date the job was completed.

Labour & HR

These reports count timesheets by the date worked.

Timesheet Summary

  • Figures: Hours logged, People, Per week, Unattributed.
  • Chart and breakdown: hours logged per week against the period before; hours by employee.
  • Table: every timesheet entry, with employee, job, date, hours, rate and status.
  • Unattributed is hours with no employee attached.

Utilisation

How much of each person's capacity is booked.

  • Figures: Utilisation (against a target of 80%), Capacity, Booked, Under target.
  • Chart and breakdown: hours booked per week against capacity; utilisation by person.
  • Table: each person's capacity, booked hours, utilisation and idle hours.
  • Capacity is each employee's standard weekly hours, or 40 hours when none is set.

Labour Cost

What labour cost, by person.

  • Figures: Labour cost, Hours, Most expensive, Unpriced hours.
  • Chart and breakdown: labour cost by month against the period before; cost by person.
  • Table: each person's entries, hours, cost and average rate.
  • Unpriced hours are hours logged with no pay rate, which add no cost.

Labour Revenue

  • Figures: Charged out, Labour cost, Contribution, Unrated staff.
  • Chart and breakdown: charged against cost, by person; contribution by person.
  • Table: each person's hours, cost, amount charged and contribution.
  • Needs: a Charge Out Rate on the employees who logged time. Without one, the report shows Not tracked in Systemise and asks you to set charge-out rates on your staff.

Hours by Category

Where the hours go, by type of work.

  • Figures: Hours on jobs, Largest category, Labour cost, Hours per job.
  • Chart and breakdown: hours and cost by category; each category's share of hours.
  • Table: each category with jobs, hours, hours per job, labour cost and share.
  • Needs: timesheets attached to jobs that have a job category.

Timesheet Compliance

Who hasn't filled in their timesheets, so you can chase them before payroll.

  • Figures: Weeks filled, Under-filled, Entries, Missing pay rate.
  • Chart and breakdown: hours logged against expected, per week; the people furthest behind.
  • Table: each under-filled week, with the person, hours logged, hours expected and the shortfall.
  • A week counts as filled when the person logged at least 60% of their standard weekly hours. Weeks with no hours at all aren't counted against anyone.
