Company Setup

Set up your company, preferences, and defaults before creating work.

Goal

Set up the key settings that affect quoting, scheduling, jobs, and reporting so everything you create afterwards is consistent.

Before you start

  • Ensure you have admin access.
  • Decide your internal conventions:
    • Job status names
    • Quote status names
    • Job category naming
    • Payment terms you offer

Step 1: Confirm company details

  1. Open Settings (top-right cog).
  2. Go to Company.
  3. Confirm company name, address, phone and key details.

What this affects

  • Document headers
  • Email templates
  • Printed/PDF quotes and job documents (if enabled)

Step 2: Configure preferences

  1. Go to Preferences.
  2. Review:
    • Time zone
    • Date/time display
    • Numbering and reference behaviour (if present)
    • Quote / job defaults
  • Set your time zone first (it impacts calendar display and timestamps).
  • Decide whether your team uses client-facing references (quote numbers / job refs) consistently.

Step 3: Configure people access

  1. Go to Roles.
  2. Confirm which roles can:
    • View contacts
    • Create quotes
    • Convert quotes to jobs
    • View reports
  3. Go to Users to invite or manage staff.

Common role patterns

Step 4: Configure operational dictionaries

In Settings, configure the lists that drive your workflow:

  • Lead Sources
  • Job Categories
  • Job Statuses
  • Quote Statuses
  • Payment Terms
  • Guarantees
  • Terms & Conditions

These settings affect forms, automation, filtering, and reporting.

  • Lead sources added
  • Job categories created
  • Job statuses align with your workflow
  • Quote statuses align with your quoting process
  • Payment terms reflect your contracts
  • Terms & conditions reviewed
  • Templates created (email and/or document)

Troubleshooting

I can’t find Settings pages

  • You may not have the required role.
  • Ask an admin to grant access or complete setup.
